Work printer offline, stuck jobs, or Intune printer missing
Printer shows Offline, jobs queue forever, or the Intune-deployed printer never appeared? Desk checks first, then print server and Universal Print.
The printer icon says Offline. Or the job sits in the queue with a cryptic error. Or Company Portal promised a printer that never arrived. These tickets waste mornings when people jump straight to reinstalling drivers on the wrong problem. Split "this PC" from "this queue" from "this device" before you touch anything.
Is it "the network" or Microsoft?
Traditional print servers and USB printers have no public status page. Universal Print incidents appear in Microsoft 365 Service health — check that if your firm uses Universal Print and many sites fail together. Otherwise use the Microsoft 365 page only for cloud printing, not for the leftover HP in the corner.
User checks (five minutes)
- Can a colleague print? Same printer, same floor. If they can and you cannot, stay on your PC. If nobody can, walk to the printer.
- Printer panel. Paper, toner, jammed roller, sleeping Wi-Fi, wrong SSID after a weekend power cut — clear the obvious before opening Windows settings.
- Set as default and resume. Windows Settings → Bluetooth & devices → Printers. Open the queue, make sure it is not Paused or Use Printer Offline. Resume if needed.
- Restart the spooler on your PC.
services.msc→ Print Spooler → Restart. Or in an elevated prompt:net stop spoolerthennet start spooler. Clear stuck jobs fromC:\Windows\System32\spool\PRINTERSonly when IT asks you to — deleting the wrong file mid-job confuses people. - VPN. Many office printers only exist on the corporate LAN. Home Wi-Fi plus no VPN equals Offline. Connect the VPN or use the cloud / Universal Print queue your company documented.
- Remove and re-add the printer once. Prefer the company portal or the published \printserver\queue name over a random TCP/IP port you invent.
Admin checks
- Print server queue. On the server, check the queue status, driver isolation, and disk space. A paused queue or a driver that crashed under isolation takes everyone down.
- Intune / Company Portal assignment. If printers deploy as Win32 apps, configuration profiles, or Universal Print connectors, confirm the device checked in and the assignment includes this user or device. See the Company Portal guide when installs stay Pending.
- Universal Print connector. Hybrid shops need the connector service healthy on-premises. A stopped connector makes cloud-registered printers look dead.
- Permissions. Share / NTFS / print permissions and Entra group membership still matter. A user moved out of "Floor3-Print" loses the queue without Windows offering a helpful essay.
- Driver type. Prefer Type 4 / manufacturer packages your packaging team tested. Mixing x86 leftovers on x64 images creates "works for Sarah, fails for Tom" tickets after every Autopilot wave.
- DHCP and VLAN. Printers that lease a new IP overnight break fixed-IP ports. DNS names for printers beat hard-coded addresses.
What to tell the user
Either: "The queue is up — we are fixing your PC's spooler/driver" or "The printer or print server is down — here is the temporary queue on floor two" or "Connect VPN / wait for Intune to push the printer." Those are different next steps.
Mac and mobile
On macOS, remove the printer from System Settings → Printers & Scanners and re-add via the company directory or IP only as IT documents. AirPrint flakiness on guest Wi-Fi is usually isolation, not a dead printer. Mobile print apps still need the same VPN or Universal Print entitlement as laptops.
When to escalate
Escalate to the print vendor or Microsoft when Universal Print shows a service incident, connectors are healthy, and many tenants or sites fail. Escalate to facilities when the hardware is mechanically dead. For one Offline icon on a laptop off-VPN, it is a desk fix.

- Why does Windows say my work printer is Offline?
- Common causes are the PC is off the corporate network without VPN, the queue is paused, the printer is asleep or jammed, or the print spooler on the PC is stuck. See if a colleague can print before reinstalling drivers.
- How do I restart the print spooler?
- Open services.msc, find Print Spooler, and choose Restart. You can also run net stop spooler and net start spooler in an elevated Command Prompt.
- Intune never installed my printer — what now?
- Sync Company Portal / Access work or school, confirm you are in the right group, and ask IT to read the app or profile status for your device. Pending for hours usually means check-in or assignment, not a missing USB cable.
- Is there a public status page for printers?
- Not for ordinary office printers. Universal Print issues appear in Microsoft 365 Service health. Everything else is local hardware, servers or your VPN path.
