Outlook disconnected or not syncing: is it Microsoft or you?
The first ten minutes of an Outlook Disconnected ticket — OWA vs desktop, profile vs outage, and when to stop rebuilding PCs.
The ticket always says the same thing: Outlook is disconnected or not syncing. Those are not the same fault. One is a transport problem. The other is a mailbox that is answering and a client that is not.
The 60-second split
Open Outlook on the web for the same mailbox, from the same PC, in a private window. Three outcomes:
- OWA fails for everyone in the company, at the same minute. Now you may talk about Microsoft. Check the Outlook status page and the admin centre. Do not start creating new profiles.
- OWA works, desktop says Disconnected. It is the client. Outages do not spare the website and punish only classic Outlook.
- OWA works for colleagues and fails for one user. Mailbox, licence, litigation hold, or a broken profile. Still not a worldwide outage.
Desktop still disconnected
Work the list in this order. Each step is cheaper than the next:
- Hold Ctrl and right-click the Outlook tray icon → Connection Status. If you have no rows at all, the client never found Exchange. If you have rows and they sit on
Disconnected, it found Exchange and then lost it. - Disable COM add-ins (especially Teams meeting, iCloud, and anything a vendor pushed last night). Restart.
- New Outlook profile. Leave the old OST alone until the new profile works. scanpst is not a diagnosis.
- Cached Exchange mode: if the OST is enormous or the disk is full, Outlook will sit on Updating inbox for hours and look dead.
Known bugs are not outages
Microsoft keeps a public list of fixes and workarounds for classic Outlook. Search, To-Do bar, shared calendars, and add-in crashes rotate through that list. If the official status page is quiet and only classic Outlook misbehaves, read that list before you tell the board "Exchange is down".
What to tell the user
Either: "Microsoft has posted an Exchange incident — use Outlook on the web until they close it" or "The mailbox is up. We are rebuilding the Outlook profile on your PC." Those are different sentences. Mixing them is how you get a second ticket in an hour.
